Oswestry based Evans Aggregates has chosen HaulTech Bulk Haulage Transport Management System (TMS) to strengthen, support and streamline their order to invoice admin process whilst delivering an Industry-leading customer experience.
The Shropshire based haulage and tipper operator sells all grades of quarried aggregates and sands throughout Shropshire, the West Midlands and Mid Wales to the construction and housebuilding trade. With many years of experience in the haulage and aggregates industry, including large muck shifts, Evans Aggregates is also a licensed waste carrier.
Prior to HaulTech the Evans team operated a slick and successful transport operation however their process for creating customer quotes, receiving and recording work, allocating vehicle, driver and trailer resources, communicating job instructions to drivers, receiving and checking PODs and weighbridge tickets and raising invoices was done, in the main, using paper and excel. Whilst the process worked for the haulier (as it had for many years) the transport operator was very much aware of the time, processes, steps and potential for error/omissions as they administered the paperwork they ultimately needed to be able to raise an invoice to their customer. To help the Evans team drive their business forward they wanted (and needed) to find a better way to get the job done without the need for additional headcount.
As part of Evans Aggregates evolution and growth plan company director Jonathan Evans had a vision for something that delivered much more than just admin efficiency. Yes, Jonathan wanted to drive down the time it takes to process an order from start to finish but simultaneously he wanted to provide his customer with real-time access to their job statuses, proof of collection (POCs), proof of delivery (PODs) and other relevant/supporting documentation which his customer could view at any time, from any location, via their PC, tablet or smartphone. In essence a ‘DPD style’ experience for bulk haulage.
The journey started after HaulTech’s Bulk Manager Software System was recommended to Evans Aggregates’ Finance Manager Joshua Davies and once Josh and Wayne (the company’s Transport Manager) saw how closely the system mirrored the company’s existing processes they knew they were onto a winner.
Over the coming months HaulTech and Evans will work closely together on a 3 phase evolution process – phase 1 will further streamline Evans’ quote through order to invoice process – phase 2 will see Evans providing their customers with live job status and documentation connectivity – phase 3 will look to provide, where possible, direct integration between Evans Aggregates’ HaulTech system and their customer’s own IT systems using HaulTech’s powerful API stacks.
